V5 Digital urges businesses to move beyond AI chatbots to enterprise automation

Namibian businesses are missing the biggest productivity gains from artificial intelligence by limiting its use to simple chatbot prompts instead of integrating it into core business workflows, according to digital transformation firm V5 Digital.

Speaking during the company’s First Fridays executive breakfast in Windhoek, V5 Digital executives said organisations should shift from experimenting with AI tools to deploying enterprise-wide automation that connects AI with business applications, internal knowledge bases and daily operations.

V5 Digital founder Armin Wieland said many organisations are still using platforms such as ChatGPT and Microsoft Copilot as search engines rather than business assistants capable of automating repetitive work.

“What we see as the danger is that busy leaders and executives are wasting precious time with simple tasks that could actually be delegated to AI. The focus is how we can buy you four hours back by next week,” Wieland said.

He said businesses should create structured AI workspaces that combine company documents, policies, standard operating procedures, communication preferences and organisational knowledge to deliver more accurate and consistent outputs.

Instead of relying on a single conversation thread, Wieland recommended creating dedicated AI projects for different clients, departments or business functions.

“Stop using one continuous messy chat thread for everything. Organise your work into projects inside Claude, ChatGPT or Gemini. These projects keep your client data isolated and give the AI access to the specific background documents needed for answering,” he said.

Customer Success Consultant and Generative AI Tools Guide Jürgen Teichert said the next stage of AI adoption lies in connecting AI directly to enterprise software rather than using it only for content generation.

He demonstrated how AI can integrate with calendars, email platforms, accounting software and collaboration tools to automate routine workflows.

According to Teichert, a single AI prompt can review a user’s calendar, analyse emails, identify outstanding tasks and generate a prioritised daily briefing before the working day begins.

He also demonstrated how AI can connect to accounting systems to identify overdue invoices, analyse previous customer correspondence and draft follow-up emails without manual intervention.

“AI isn’t about replacing people but really more about removing repetitive work so that people can spend more time doing the work only humans can do,” Teichert said.

He encouraged organisations to create persistent AI profiles containing users’ responsibilities, communication styles, work priorities and operating rules so that AI systems retain organisational context across future interactions.

“You don’t need to ever reintroduce yourself to the AI platform. Your identity, responsibilities, communication style, work priorities and rules are already there before it answers,” he said.

Teichert added that enterprise AI platforms have matured to the point where they can automate report writing, presentation development and business documentation without requiring coding or advanced technical skills.

“So we’re already really here. Automation has become easy and accessible for the average person. You don’t need coding experience or difficult technical knowledge,” he said.

V5 Digital said organisations that integrate AI into existing business systems stand to achieve greater productivity, stronger data governance and faster digital transformation than those using AI solely as a standalone chatbot.
